Resource Manager

Location: Naples, IT

Duties & Roles:

  • Portfolio, Programme, and Project Support: Coordinate and facilitate data collection for Business Intake processes, including the annual Demand Forecast exercise and Customer Request Forms (CRFs) with leadership. Provide administrative support to project boards, project assurance teams, and quality review meetings. Use portfolio, service, and project control solutions to plan, schedule, and track execution. Compile and distribute reports using dedicated dashboards. Guide users on project/service management software, procedures, and techniques. Monitor weekly timesheets to ensure accurate time accounting.
  • Resourcing: Facilitate resourcing, recruitment, and onboarding activities. Utilize planning and scheduling tools to track resourcing activities and contribute to resource transitions while ensuring compliance with external regulations and codes of practice.
  • Business Administration: Provide administrative support to teams and meetings, track action items, maintain files/libraries on the intranet, and offer guidance on workplace productivity tools and processes.
  • Budget Management: Analyze budgets for patterns and causes of inaccuracies. Implement and establish procedures for the organization’s budget cycle, and assist in collecting and preparing capital, operating, and cash budget information. Ensure budget allocations and forecasts align with strategic priorities through scenario analyses.
  • Internal Controls & Governance: Evaluate audit trails of operational processes, test existing internal controls, and re-engineer business processes to improve controls. Support financial governance by ensuring compliance with organizational policies, keeping audit readiness, and recommending improvements to reporting accuracy.

Skill, Knowledge & Experience:

  • Education: A Bachelor’s degree in a related discipline with at least 2 years of post-related experience. Exceptionally, the lack of a degree can be compensated by at least 6 years of extensive and progressive expertise in duties related to the function of the post.
  • Experience: Demonstrated knowledge and coordination experience within financial management, workforce management, and project management inside a customer-funded environment. Proven experience in planning, preparing, executing, and reporting on these activities.
  • Systems & Tools: Knowledge and experience with enterprise resource planning (ERP) systems, alongside project management processes, procedures, and tools.
  • Clearance: A valid NATO Secret security clearance is mandatory.
